WhatsApp Business app vs WhatsApp Business API — which one does your business need?
The difference between the free WhatsApp Business app and the official API, when the free app stops being enough, and what the API costs for a business in India.
Every business in India is on WhatsApp. Most are on the free WhatsApp Business app, which is fine until you hit its limits. This post explains when to move to the WhatsApp Business API, and what changes.
The free app
Good for one person on one phone. You get a business profile, quick replies, labels, a catalogue, and basic away messages. It costs nothing.
It breaks down when:
- Two or more people need to answer the same number
- You want to send a reminder to 500 customers (the app will get you blocked)
- You want a bot to answer the same ten questions automatically
- You want bookings or orders to land in a sheet or dashboard, not just in a chat
The Business API
The API is the same WhatsApp, but your number is connected to software instead of a phone. That gives you:
- A shared inbox: your whole team answers from a browser, with history
- Automation: a bot handles FAQs, bookings, order status, and hands over to a human when needed
- Broadcasts that are allowed: template messages approved by Meta, sent to customers who opted in, with no risk of a ban
- Integrations: orders to your CRM, tokens to a queue system, payments via a link
- A green tick if your business is verified
What it costs in India
Meta charges per conversation, roughly ₹0.12 for a service conversation a customer starts and around ₹0.80 for a marketing template you send. A clinic sending 1,000 reminders a month spends under ₹1,000 on Meta fees. On top of that is the platform or development cost for the bot and inbox.
Do you need a developer?
For a simple shared inbox, no: there are off-the-shelf tools. For a bot that takes bookings, writes to your system, and speaks Hindi and English, yes. That is what our WhatsApp Bot product does, and both Token Management and StoreFront are built on the same API.
The short version
If one person answers one phone, stay on the free app. The day a second person needs to answer, or you want to send the same message to many people, move to the API.
